Fleet Maintenance for Broward Businesses Without an In-House Mechanic

No in-house mechanic? How Broward businesses running 5-30 trucks, trailers and buses can plan maintenance, approvals and records that keep crews working.

Fleet Maintenance for Broward Businesses Without an In-House Mechanic

Most businesses that run trucks in Broward County aren't trucking companies. They're landscaping and turf crews, utility and infrastructure contractors, commercial-kitchen installers, equipment and climate-control rental companies, delivery operators, and schools, churches and senior-living communities with buses. They run 5 to 30 vehicles, and nobody on the payroll is a mechanic.

For these fleets, maintenance usually happens when something breaks. This guide shows how to set up a simple plan instead: what to track, who to work with, and how to keep vehicles working around your schedule rather than the shop's.

What a down truck really costs

The repair bill is often the smaller number. When a work truck goes down, a paid crew waits, a job slips and a customer gets a phone call nobody wants to make.

Here's a simple example. Say a three-person crew earns $25 an hour each and loses four hours waiting on a truck. That's $300 in wages before you count the rescheduled job, the tow or the overtime to catch up. Run the same math with your own crew size and rates; it's the clearest case for planned maintenance.

Your options when you don't have a mechanic

  • Fix it when it breaks: Works well when you have spare vehicles and flexible jobs. Watch out: breakdowns land on your busiest days, and nobody keeps records.
  • Hire an in-house mechanic: Works well when you have enough daily work to keep one busy. Watch out for the cost of salary, tools, diagnostic software and a bay to work in.
  • Dealer service: Works well for warranty and recall work on one brand. Watch out: each dealer works on its own brand, so a mixed fleet may need several.
  • An independent shop on a maintenance program: Works well for mixed fleets of trucks, trailers and buses with no mechanic on staff. Watch out: pick one that schedules around you, gets approval before work and keeps records.

Most small fleets end up with a mix: warranty work at the dealer, everything else on a fleet maintenance program with one independent shop that knows every unit.

What a good maintenance partner should do for you

  • Plan visits around your operation, so PMs happen before crews roll out or on slow days, not in the middle of a job.
  • Do selected work at your yard where it makes sense, and schedule heavier work into the shop with the diagnosis already done.
  • Send a written estimate and wait for your approval before starting any repair.
  • Keep a service record for every unit, by VIN, so you know what was done and what's coming due.
  • Remind you when PMs and inspections are due, so nothing depends on someone's memory.
  • Handle the whole fleet: work trucks, box trucks, trailers, buses, liftgates, hydraulics and A/C, so you're not juggling five shops.
  • Tell you straight when a job belongs at a dealer, such as warranty or recall work.

Set up a fleet maintenance plan in 30 days

  1. List every unit: year, make, model, VIN, GVWR, mileage, engine hours, plate and main driver.
  2. Gather the records you have: last PM, last inspection and any open problems.
  3. Group units by type and use: box trucks and service bodies, trailers, buses, equipment.
  4. Set a schedule for each group from the manufacturer's severe-service intervals, and book recurring dates.
  5. Agree on approvals: who signs off on repairs, and how the shop reaches them.
  6. Add a two-minute driver walkaround: tires, lights, leaks, liftgate and brake feel, reported the same day.
  7. Review every quarter: which units cost the most and which broke down without warning.

Florida factors to plan around

  • Heat: check A/C and cooling systems in spring, before the hottest months.
  • Hurricane season (June 1 to November 30): check tires, batteries, wipers, lights and fuel systems before June, so trucks are ready for storm prep and cleanup work.
  • Rain and humidity: they wear on electrical connections, box seals and wipers.
  • Inspection rules: Florida treats trucks under 26,001 lbs that stay in-state differently from federal rules. Our guide to medium-duty trucks explains what still applies, and our DOT inspections cover trucks, trailers and buses.

Frequently asked questions

How many vehicles do I need before a maintenance program makes sense? There's no minimum. Even a few trucks benefit from a set schedule and one shop that keeps the records. Most of the fleets we work with run 5 to 30 vehicles.

Can you service our vehicles at our yard? We do selected work on-site when the location, safe access, equipment and parts allow. Heavier work comes into our Pompano Beach shop on a scheduled date.

Do you work on buses and trailers too? Yes. We service school, church, senior-living and shuttle buses, and dry vans, reefers and flatbed trailers. Our yard fits Class A buses and 53-foot trailers.

Will you start repairs without asking us? No. You get a written estimate and approve it before any work starts.

How is this different from going to a dealer? We're an independent shop that works on mixed fleets of many makes. For warranty or recall work, we'll tell you when the job belongs at a dealer.
